Immigration Procedures

When

Within 14 days of entering Japan and deciding on an address in Hamamatsu

Who

The applicant in person, a proxy or people who are registered in the same household

Moving-In Notification (tennyu todoke)

Items to Bring

The Residence Card (zairyu kado) or Special Permanent Resident Certificate (tokubetsu eijusha shomeisho) and passport of the person who has entered Japan, and documents certifying their family relations (originals and Japanese translations).

If a representative will come instead, they must also bring identification and a letter of attorney written by the applicant.

If the applicant has children of under high school age, please contact the divisions in charge of child allowance and medical subsidies regarding what you need to bring.

※If you are a Special Permanent Resident and an intermediary will do your  procedures for you, please contact the Ward Municipal Services Division of the Ward that you are living in prior to going there.

Notification of Changes to Registered Matters (kisai jikou henkou todoke), etc.

Other Materials to be Attached

1 photograph taken within the last three months (4.0 cm tall by 3.0 cm wide, front view from the chest upwards, head uncovered, nothing in the background).
No photo is required for minors under 16 years of age.

Special permanent residents must go to their local Ward Municipal Services Division. Persons holding other residence statuses must go to the immigration bureau office with jurisdiction of your area.

Change of Address

The applicant in person, a proxy or people who are registered in the same household

  When moving into Hamamatsu from another municipality When you move within Hamamatsu City

When you move to another municipality from Hamamatsu City to another municipality or abroad

When Within 14 days from the day you start living in Hamamatsu Within 14 days from the day you start living at your new address From 2 weeks before the planned date of the move until 14 days after moving-in.

※It is not required if you move-in in accordance to the contents written in your moving-out certificate.

・National Pension Handbook (persons who have one)

・Latter-Stage Elderly Medical Insurance Card (If you have one)

・Passport  (If you have just acquired a new residency status)

・If a representative will come instead, they must also bring their identification and a letter of attorney written by the person that is changing residence.

・If you wish for your children to commute to a public school in Hamamatsu City, please contact the division in charge of school enrolment procedures.

・If the applicant has children under high school age, please contact the divisions in charge of child allowance and medical subsidies.
